IMPORTANT INFORMATION FOR CHAMPIONSHIP EVENT ORGANISERS
The 2024 Championship document package has been designed by the NSW Supersprint Panel to continue the methodology used in 2023 that had competitors provide all the event entry information online prior to the event which has streamlined the scrutineering/check-in process at the event.
The Panel’s objective is to have the same methodology for every Championship Round, irrespective of the Club hosting the event. This has proven to be effective for competitors as they become used to the requirements which don’t change with each event. This in turn leads to a more streamlined administration process as the Event Secretary has less errors requiring correction.
2024 Event Planning Schedule
The following dates will be used for promotional and communication purposes. Please keep these dates to meet competitors expectations:
Entry information via supersprintnsw.com
For consistency Event Entry information will in the first instance be available to competitors under the “Events” tab on the www.supersprintnsw.com website. Links will be provided to entrants on that page to the online Motorsport Australia or ARDC Event Entry system as well as all other information and forms required by competitors for that event.
If required a link can also be provided to a specified page on the host Club’s website as well.
2024 Competitor Documentation
For each event using the Motorsport Australia Event Entry system, the Supersprint Panel will provide the Event Secretary with online form SSP 09 Risk Warning, Disclaimer, Indemnity & Statement of Vehicle Compliance that is specific to the event. The Supersprint Panel will follow up submissions of this form on behalf of the Event Secretary to ensure that all are submitted prior to the event. The Event Secretary will be given access to the online competitor Responses spreadsheet on Google Documents. The Supersprint Panel will provide an Excel file of this document to the Event Secretary after the event for the event records.
A set of Clerk of the Course Drivers Briefing Notes will need to be provided to competitors prior to the Event. This can either be provided to the Panel by the Event Secretary in .pdf format for uploading to the website’s Entry page or the Panel’s SSP 17 Drivers Briefing Notes may be used. Alternatively, the following Word template can be used by the clerk of the Course as a base for a custom Drivers Briefing Notes if for example additional information is required: SSP 17 Drivers Briefing Note (Word).

Once your permit is approved, please email the approved SSP 11 document to Ian Williams and he will provide a link for you to put up in the Event Entry system.
Pre-Event Checks
To ensure that all checks have been completed prior to the event, it is recommended that Event Secretaries check that a Parent/Guardian Consent has been completed for any driver is under 18 years of age, and that competitor’s competition licenses are checked using Motorsport Australia’s online batch license check facility.
NSW Supersprint Panel Support
In addition to monitoring and following up SSP 09 Risk Warning, Disclaimer, Indemnity & Statement of Vehicle Compliance form submissions, the Panel will provide the host Club with Grid Sheets and Scrutineering labels. To assist with this, the Panel requests either access to the event entry reporting or frequent data dumps of event entries, particularly from 2 weeks out where a data dump will be required on a daily basis until late entries have closed.
Grid Sheets
From entry data at the Entry Close Date, the Panel will construct a set of draft Grid sheets containing relevant competitor information and will email direct to competitors for checking on the Friday 9 days out as per the Schedule above. Competitors will have until 10:00pm on the following Sunday to reply.
The Panel will then update the draft Grid Sheets with the information received from competitors and add any late entries received by that deadline as well. The Panel will forward the final Grid Sheets to the Event Secretary on the following Monday for circulation to competitors with other event information.
Competitors whose entries are accepted after the 10:00pm Sunday deadline will be placed at the back of a grid group or in the last group in the rotation.
The last group in the rotation (usually Group 6) will have their grid positions revised after the first session.
The Panel is to provide the Grid marshal with a second set of scrutineering stickers for that group which can be placed over the original stickers to shown their revised group sequencing.
The Event Secretary is to liaise with Timing and arrange for a sheet containing the times for that last group’s first session be printed and taken to the Grid Marshal to enable the sequencing of that group to be revised when they grid up for their second session.
Scrutineering Stickers
The Panel will provide the necessary data to the Scrutineering stocker printer on the Tuesday prior to the event as per the above Schedule.
Competitors whose entries are accepted after the 10:00pm Sunday deadline will not have scrutineering stickers printed but will have hand written stickers issued on the day.
A set of blank scrutineering stickers will also be produced to allow for any unforeseen problems on the day.
At the conclusion of scrutineering, the Chief Scrutineer will take any printed scrutineering stickers “left over” to the Event Secretary, where they will both investigate whether either the competitor has not turned up on the day, or if their car does not have a scrutineering sticker on it.
The Event Scrutineering / Check-in Process
The Event scrutineering/check in process will be conducted in 3 locations, which are usually tables set up in the scrutineering bay.
The first is the Helmet Check table. Competitor’s helmets are first checked for compliance and once passed, have a coloured sticker applied to the right hand side of the helmet so that it is visible through the drivers window.
Competitors then proceed to one of the two other tables, one for Vehicles with log books and the other for Vehicles without log books. Competitors are to show their helmet’s sticker at the respective table as well as their Log Book (if applicable) to collect their scrutineering sticker and drivers wrist band.
Scrutineering of Vehicles With Log Books
Vehicles with Log Books will be included in the Targeted Scrutiny System. These competitors are to present their Log book at this table. If due for an Audit, the competitors car number, log book number and garage/carport number will be noted on the SSP 25 Scrutiny Audit Worksheet and the Log Book retained. Competitors will then be issued with a scrutineering sticker and driver’s wrist band. Later in the day, the Log book will be returned to the competitor, duly annotated, after the Target Audit has been completed.
Scrutineering of Vehicles Without Log Books
Competitors with Vehicles without Log Books that are noted on the Scrutiny Plan as requiring a Random Audit are also to advise their garage/car port number as they will be subject to a random scrutineering audit in their garage/carport through the day. Any deficiencies found may be reported to the Clerk of the Course and may affect the vehicle’s authorisation to further compete on the day. Competitors will then be issued with a scrutineering sticker and driver’s wrist band.
All Vehicles
Competitors will be issued with a “Type” sticker with their scrutineering sticker. This label is to be positioned in a suitable location on the rear window. If the vehicle does not have a rear window, it is to be placed in a position at the rear where it is visible from the rear. Competitors are requested to leave this sticker on their car to save replacing it at every round.
Competitors who have not driven on the circuit before are to display a “X” at the rear of their vehicle in electrical tape of a contrasting colour to the cars body, the size being 150mm square.
Each windscreen sticker will contain the competitor details as well as their assigned Group and Grid Position. To close the loop, the Grid Marshals need to confirm that every vehicle on the grid displays the event’s scrutineering sticker and the driver has a driver’s wrist band before letting them out onto the track.
